Author’s guideline:
Congratulations to the authors on your accepted paper in CODEC 2023
This conference will be held in physical mode, from Dec 14-16, 2023. No virtual presentations will be allowed.
Information about the camera-ready paper and copyright submissions is given below.
Visit the Registration page for the detail information about the registration process.
You are advised to go through the steps very carefully in order to avoid any delays and inconvenience.
Failure to do so will likely forfeit your paper acceptance.
- Preparation and Submission of Camera-Ready Papers
The detailed comments of the reviewers for your research paper can be viewed at the MS CMT submission page (Author Console) of your respective track. Please log in to view the reviewers’ comments and revise your manuscript based on those comments.
The camera-ready version of the paper must be prepared in accordance with the guidelines given in this email.
Authors, please complete the following steps by November 03, 2023.

- Generate final submission manuscript with PDF eXpress Online File Conversion/PDF Validation Tool
- Camera ready Paper PDF File Submission
- Complete and submit IEEE copyright form for each paper

Formatting Instructions: Papers should not exceed TWO pages, including figures, tables and references.
Those accepted papers which are more than two pages, bring it down to two pages. IEEE is strict about the requirements for PDF files for
inclusion in the IEEE Xplore® Digital Library.
Format your paper according to IEEE conference style guidelines.

Use the A4 format.
DO NOT use the US Letter format and do not paginate your paper.
Include the appropriate copyright clearance code notice on the bottom of the first page of your paper:
- For papers in which all authors are employed by the US government,
the copyright notice is: U.S. Government work not protected by U.S. copyright
- For papers in which all authors are employed by a Crown government (UK, Canada, and Australia),
the copyright notice is: 979-8-3503-1717-6/23/$31.00 ©2023 Crown
- For papers in which all authors are employed by the European Union,
the copyright notice is: 979-8-3503-1717-6/23/$31.00 ©2023 European Union
- For all other papers the copyright notice is: 979-8-3503-1717-6/23/$31.00 ©2023 IEEE
LATEX users belonging to the category in (d) can directly add the following lines just before \begin(document)

MS Word users can use: Insert Text box, insert the appropriate copyright notice in the textbox, and place the box (without border)
at the bottom left on the first page.
II. Generate final submission manuscript with IEEE PDF eXpress:
Check the compatibility of your camera-ready PDF file in the IEEE PDF eXpress application using the link:

- First-time users should register themselves with the conference ID: 60112X
Continue to enter information as prompted. An Online confirmation will be displayed, and an email confirmation will be sent verifying your account setup.
- Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous conferences. Verify that your contact information is valid.
The most common error found in files that fail to meet IEEE Xplore® compliance requirements is the failure to embed all fonts.
Please note that in order to access the service, you need to allow the use of cookies from the PDF eXpress web site.
Once you have registered and login as a new/previous user:
- Upload the source file (containing your paper) for conversion.
- Receive by e-mail the IEEE Xplore-compatible PDF of your paper.
III. Final Paper PDF File Submission:
Submit the IEEE Xplore®-compatible PDF file of your camera-ready paper
(with the same name generated from PDF eXpress) on Microsoft CMT using following steps.
- Go to the Microsoft CMT.
- Locate the Paper Options row and click on the Create Camera Ready Submission.
- Browse for the IEEE Xplore®-compatible PDF file of your camera-ready paper and click on the Upload button.
Deadline for Camera-ready Paper Submission: November 03, 2023.
This is a hard deadline for revised papers to be included in the CODEC 2023 Proceedings on IEEE Xplore.
IV. Complete and Submit One IEEE Copyright Form Per Paper
In order to have your paper published in the conference proceedings and in the IEEE Xplore,
you need to transfer a copyright form for each paper which is accepted at the conference.
Following the recent policies of the IEEE concerning the transfer of ownership rights of intellectual property to IEEE,
we have enabled the submission of copyright forms using the electronic copyright form (eCF) tool of the IEEE. Follow the
instructions below to submit your copyright form using the eCF. Make sure that you mention a complete list of authors'
names in the copyright form.
Click on Submit IEEE Copyright Form button
(MS CMT Author console – Locate the Paper Options row and click on the “Submit IEEE Copyright Form”)
and follow the instructions, then finally submit the copyright form of your paper. No need to upload any file. IEEE policy requires that every submitted paper must be accompanied by a signed IEEE Copyright Form before publication can occur. Only one form is required per paper.

Please ensure that the title of your research paper is correct and that the author names and the affiliation details are correctly recorded in the MS CMT system before completing the IEEE electronic copyright form.
You will not be able to change/edit the form once it is submitted.
2. Policy on Plagiarism
All papers submitted to CODEC-2023 will be checked for plagiarism, inappropriate multiple submission, and inappropriate use of previous work.
Potential issues will be handled in accordance with the IEEE Publication Services and Products Board Operations Manual,

Authors must check similarity test (plagiarism) of their manuscripts using any standard plagiarism checking software and
ensure that similarity percentage is less than 25%.

Guideline to the Invited Paper:
- Abstract of the invited talk will be incorporated in the conference proceedings.
Invited author must submit an abstract of the talk about 150 words. Otherwise,
only “title” of the talk will be mentioned in the conference proceedings.
- An invited talk can be uploaded to IEEE Xplore if author’s submit/send a camera-ready IEEE Xplore compliant two pages manuscript in the appropriate track and a copyright form.
The paper should also fulfill Plagiarism check. Author should write the word “INVITED” at the top of the paper before submission.
- All the Invited speakers are requested to register themselves in the conference and pay the conference registration fee as per the CODEC 2023 registration norms.
Publication of Papers:
- Authors of selected and presented Contributory papers (free from plagiarism) will have the options for publications of their paper in one or both of the following:
- IEEE Xplore: 2-page Full manuscript, requiring submission of copyright agreement by authors to IEEE,
- JOURNAL OF THE INSTITUTION OF ENGINEERS: SERIES B: An extended version of the full manuscript with minimum 80-85% change in content,
Title change, Abstract change, etc. Also, authors should write in the Acknowledgment part that
"This paper is a revised and expanded version of an article entitled,
‘.............’ presented in ‘.....’ held at ..... during ......". Appropriate copyright transfer may be required.
- ** Please Note:
- Authors may opt to either one or both of the above.
- If authors are willing to publish in both, then while preparing the manuscript for submission to the journal
(Journal of the Institution of Engineers: Series B), authors should note that any exact use of the content (e.g. reuse of the abstract,
figures or any substantial text as submitted to IEEE Xplore) will require a permission grant from IEEE, and also may require a fee.
- It is only authors’ responsibility to ensure no violation of agreements, publication requirements, etc.
as required by IEEE Xplore and the Journal of the Institution of Engineers. Organizers won’t be responsible for any such violation.
